An Administrative Vision Towards Excellence and Development

Overview of the Registration and Students Affairs Department and Its Responsibilities Praise be to Allah (swt), the Lord of the Worlds, and peace and blessings be upon the noblest of creation and the Seal of the Prophets, our Master Mohammad, and upon his pure household. Al-Zahraa University for Women has consistently sought, through its developmental vision, to provide female students with the care and attention befitting the distinguished status that Allah the Almighty has bestowed upon women. In doing so, the University has become a safe and supportive environment that safeguards the aspirations and ambitions of its female students. Within this framework, the Registration and Students Affairs Department plays a leading role in addressing all technical and administrative matters related to female students. Additionally, its responsibilities begin with the admission of the female student to the University and continue until her graduation, extending even to the follow-up of graduates and their integration into academic and professional fields Administratively, the Registration and Students Affairs Department is affiliated with the Vice President of the University for Scientific Affairs. The Registration and Students Affairs Department is committed to ensuring the smooth admission of female students and to addressing any difficulties they may encounter throughout their academic journey. The Department strives to identify effective solutions to female students’ problems and to follow up on their academic progress in a secure, supportive, and accessible environment, in accordance with the University’s regulations, guidelines, and institutional directives. It is worth noting that the importance of this Department lies in the fact that the student constitutes the central focus of its work. It further serves as the executive link between the implementation of ministerial regulations, instructions, and procedures, and the institutional vision of the University to which it belongs. This vision provides a strategic framework for shaping a clear pathway towards building the students’ future in terms of values, ethics, and academic development, while simultaneously responding to students’ needs and addressing the challenges they encounter during their academic stages, as well as supporting their transition into the labour market. In line with the University’s commitment to institutional advancement, excellence, quality assurance, and academic and administrative rigour, the Registration and Students Affairs Department has introduced a significant qualitative transformation by digitising student records and data. Besides, it has adopted reliable electronic systems and modern digital programmes dedicated to female student services, with the aim of meeting students’ needs while ensuring that their data are maintained securely, efficiently, and in a manner that is easily accessible.

Vision, Message and Goals

About Department

The Registration and Students Affairs Department undertakes the following responsibilities: 1. Admitting and registering female students applying for admission to the University’s Faculties and academic departments after verifying and matching their data and supporting admission documents with the admission regulations and instructions issued by the Ministry of Higher Education and Scientific Research. This process is conducted in accordance with the specified requirements, including the female student’s average grade, secondary school academic sector, admission channel, age, gender, and health status 2. Monitoring and recording the female student’s annual academic status, including (upgrading from one academic stage to the next), pass, fail, conditional progression, and failure due to absence. 3. Monitoring and documenting annual academic status changes, including guest study arrangements, transfer, postponement of study, and termination from enrolment. 4. Coordinating and implementing procedures related to female students between the Faculties, academic departments, and the Registration and Students Affairs Department, in accordance with ministerial regulations and instructions. 5. Verifying the authenticity of secondary school certificates with the issuing authorities and addressing cases of discrepancy in accordance with ministerial regulations, including correction, amendment of certificate title, and official authentication. 6. Following up on the implementation of examination regulations, controls, and decisions issued by the Ministry of Higher Education and Scientific Research, as well as the University’s directives regarding semester, annual, and evaluative examinations. 7. Issuing graduation certificates for female graduates after verifying their data and confirming the fulfilment of graduation requirements, both electronically in coordination with the Department of Private University Education and in printed form through official University orders. 8. Maintaining and preserving female students’ data and detailed academic records within a secure electronic and paper-based.
